Trust, transparency, and careful handling

Privacy Policy

Travel planning requires context. This policy explains what Tradecraft Travel collects, why it is used, when it may be shared, and the choices available to you.

Effective August 2, 2026

Tradecraft Travel LLC · Virginia, United States

We collect for a purpose.

Information is used to respond to you, plan or service travel, operate the site, and send marketing only under the appropriate consent.

Public forms stay limited.

Do not send passport numbers, payment-card details, medical records, or other sensitive information through a public website form.

We do not sell for money.

Advertising technologies may be treated as “sharing” under some privacy laws; choices and request instructions appear below.

1. Scope and who controls your information

This Privacy Policy describes how Tradecraft Travel LLC (“Tradecraft Travel,” “we,” “us,” or “our”) handles personal information through tradecrafttravel.com, website forms, newsletters, browser notifications, direct communications, travel-planning services, and related client workflows.

Tradecraft Travel is a Virginia travel advisory. For information we collect and decide how to use, Tradecraft Travel is the business or controller. A cruise line, tour operator, hotel, insurer, host agency, payment provider, or other supplier may separately control information you provide to it under its own privacy policy.

2. Information we collect

Information you provide

Depending on how you interact with us, this may include:

  • Your name, email address, phone number, and preferred contact method.
  • Travel dates or windows, destinations, party size, budget posture, cabin or room preferences, interests, accessibility needs stated at a general level, and questions you ask.
  • Group, cruise, tour, newsletter, interest-list, or campaign information connected with your request.
  • Messages, call notes, email history, files you choose to send, and records of service or marketing consent.
  • Traveler and booking details needed to research, arrange, or service travel. When sensitive information is necessary, we seek to collect it through Tern, a supplier system, a host-agency process, or another approved secure channel rather than a public form.
  • Payment or transaction information handled through suppliers, insurers, financing providers, host-agency systems, or payment processors. Tradecraft Travel’s public website forms are not intended to collect full payment-card or bank-account details.

Information collected automatically

When you use the website, we and our service providers may collect IP address, browser and device type, operating system, approximate location derived from IP address, referring page, pages viewed, links or buttons used, session timing, campaign parameters, cookie or pixel identifiers, security signals, and similar technical or usage information.

Information from other sources

We may receive information from a travel companion or group organizer, a referral source, our host agency, travel suppliers, insurers, payment or financing providers, marketing platforms, analytics services, or another party involved in your request or booking. If you provide information about another person, please do so only with appropriate authority and tell that person how it will be used.

Please do not submit sensitive information through a public form. Do not enter passport or government-identification numbers, full birth dates, payment-card or bank details, medical records, insurance claims, or sensitive employment or security information. Ask us for the appropriate secure channel.

3. How we use information

We may use personal information to:

  • Respond to an inquiry and communicate through the method you selected.
  • Research, compare, recommend, quote, arrange, book, document, and service travel.
  • Coordinate with travelers, group organizers, host agencies, suppliers, tour operators, cruise lines, hotels, airlines, ground operators, insurers, and other providers involved in a request.
  • Provide trip documents, deadline reminders, service communications, and support.
  • Administer interest lists, deliver requested resources, and send the Tradecraft Travel Brief or other marketing when permitted.
  • Operate, personalize, measure, troubleshoot, protect, and improve the website and its forms, content, campaigns, and services.
  • Detect spam, fraud, abuse, security incidents, and technical problems.
  • Maintain business, accounting, consent, transaction, and legal records.
  • Comply with law, enforce agreements, establish or defend legal claims, and protect people, property, and rights.

Submitting an inquiry permits us to respond about that request. It does not, by itself, subscribe you to unrelated recurring marketing, create a reservation, place a hold, or authorize a payment.

4. How we share information

We may disclose information to the following categories of recipients when reasonably necessary:

  • Travel and service providers: our host agency; cruise lines; tour operators; airlines; hotels; ground operators; destination-management companies; guides; insurers; payment and financing providers; technology vendors; and other suppliers needed to research, arrange, book, or support travel.
  • Website and business service providers: WordPress and hosting providers; Elementor and WPForms; Cloudflare; Tern; email-delivery and marketing services such as MailerLite and Brevo; browser-notification services; Google services, including Analytics and Search Console; Meta advertising tools; anti-spam, security, backup, and performance providers; and professional advisers.
  • People involved in the trip: a traveler, travel companion, group organizer, or authorized representative when coordination reasonably requires it.
  • Legal and safety recipients: government authorities, courts, law enforcement, regulators, insurers, counsel, or other parties when we believe disclosure is required or appropriate to comply with law, protect safety, investigate misconduct, enforce agreements, or defend rights.
  • Business transaction recipients: advisers or a successor in connection with a merger, financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate protections.

Tradecraft Travel does not sell personal information for money. The use of Meta Pixel and similar advertising or measurement technologies may be considered a “sale,” “sharing,” or targeted advertising under some laws even when no money is exchanged. Where applicable, you may opt out as described in Section 8.

5. Cookies, analytics, advertising, and similar technologies

The website uses or may use cookies, pixels, scripts, local storage, and related technologies for:

  • Essential operation and security: WordPress functionality, form operation, Cloudflare security and Turnstile anti-spam checks, fraud prevention, caching, and site reliability.
  • Analytics and performance: Google Analytics, Google Search Console, Site Kit, Cloudflare performance measurement, and similar tools help us understand traffic, referrals, content use, and technical performance.
  • Advertising and campaign measurement: Meta Pixel records website visits and content interactions to measure advertising and help build or reach audiences on Meta services.
  • Email, forms, and engagement: MailerLite, WPForms, Brevo, browser-push services, and feedback tools support signups, form delivery, notifications, and engagement measurement.

These providers may receive device and usage information under their own privacy terms. We do not intentionally send public-form message text, names, email addresses, phone numbers, passport details, or payment information to analytics or advertising platforms.

You can restrict or delete cookies through your browser settings and use the privacy or advertising controls offered by Google, Meta, and other providers. Blocking some technologies may affect website features. Browser “Do Not Track” signals are not interpreted consistently across the industry; you may use the request method in Section 8 for privacy choices covered by applicable law.

6. Email, text messages, and browser notifications

Service communications

If you submit an inquiry or become a client, we may contact you about that request or trip. Selecting text as a preferred contact method allows inquiry- or service-related text messages; it does not automatically enroll you in recurring promotional text messages. Message and data rates may apply.

Marketing email

We send the Tradecraft Travel Brief and related marketing to people who subscribe or when another lawful basis applies. You may unsubscribe through the link in a marketing email or by emailing us. Unsubscribing from marketing does not stop booking confirmations, deadline notices, replies to your request, or other necessary service messages.

Browser notifications

Browser or web-push notifications are sent only after you grant permission through your browser or device. You can withdraw that permission in your browser’s notification settings.

7. Retention and security

We retain personal information for as long as reasonably needed for the purpose for which it was collected, to provide or document services, maintain consent and transaction records, meet supplier, accounting, tax, insurance, dispute, and legal requirements, protect the business, and resolve issues. Retention varies by record type and relationship. Marketing subscription records may be maintained until you unsubscribe and afterward as needed to honor that choice.

We use administrative, technical, and organizational safeguards designed to protect information, including limited-access systems, security and anti-spam services, reputable service providers, and secure supplier or client channels for sensitive booking information. No system or transmission method is completely secure, and we cannot guarantee absolute security.

8. Your choices and privacy rights

Depending on where you live and which law applies, you may have the right to ask whether we process your personal information; request access, correction, deletion, or a portable copy; withdraw consent; object to or restrict certain processing; and opt out of targeted advertising, sale, or sharing. You may also appeal a decision where applicable law provides that right.

To make a request, email jack@tradecrafttravel.com with the subject “Privacy Request” and describe the request and the email address or interaction involved. We may need to verify your identity and authority before acting. We will respond within the period required by applicable law. Authorized agents may submit requests where permitted, subject to verification.

We will not discriminate against you for exercising an applicable privacy right. A request may be limited or denied when an exception applies—for example, when information is needed to complete a transaction, maintain required records, protect security, exercise legal rights, or comply with law. If we deny an appealable request, you may reply with “Privacy Appeal” and explain why you believe the decision should be reconsidered.

To opt out of marketing email, use the unsubscribe link in the message. To ask not to receive targeted advertising associated with Tradecraft Travel’s website activity, email the address above with the subject “Targeted Advertising Opt-Out.” This request does not control advertising based on data collected independently by other companies.

9. International visitors and legal bases

Tradecraft Travel is based in the United States. Personal information may be processed in the United States and in countries where our service providers or travel suppliers operate, which may have different data-protection laws than your home country.

Where a legal basis is required, we process information as needed to take steps you request before a contract or to perform a contract; for legitimate interests such as responding to inquiries, operating and securing the site, improving services, keeping business records, and measuring marketing; with consent, including for certain marketing or optional technologies; and to comply with legal obligations or protect vital and legal interests. You may withdraw consent at any time without affecting prior lawful processing.

10. Children’s privacy

The website and services are directed to adults and are not intended for children under 13. We do not knowingly collect personal information online directly from a child under 13. An adult arranging family or group travel may provide information about a minor when necessary and authorized; sensitive traveler details should be transmitted only through the secure channel we identify. If you believe a child submitted information directly, contact us so we can review and, where appropriate, delete it.

11. Third-party websites and supplier services

The website links to travel suppliers, booking systems, insurers, financing providers, social networks, maps, media, affiliate services, and other third-party websites. Their privacy practices are controlled by their own notices, not this policy. Review the applicable terms before providing information or completing a transaction. Tradecraft Travel is not responsible for the privacy or security practices of a third party.

This policy does not replace supplier privacy notices, booking terms, or the Tradecraft Travel Payment Terms & Conditions that may apply to a service or transaction.

12. Changes to this policy

We may update this Privacy Policy when our services, technology, suppliers, or legal obligations change. The effective date at the top shows when it was last materially revised. If a change materially affects how previously collected information is used, we will provide additional notice when required.
