Payment Terms & Conditions

Clear expectations, so planning can move with confidence.

Tradecraft Travel aims to make the payment process straightforward, secure, and transparent. These terms explain how payments are handled, when deadlines matter, how supplier policies affect refunds, and what clients should understand before authorizing payment.

At a Glance

Secure payment, supplier deadlines, and direct communication matter

Tradecraft Travel accepts major credit cards and Zelle. Personal checks are not accepted.

Credit card payments are processed through secure third-party systems; full card numbers are not stored by Tradecraft Travel.

Supplier deposit and final payment deadlines are binding, and missed deadlines can lead to cancellation or loss of funds already paid.

If a payment concern arises, clients should contact Tradecraft Travel first before initiating a dispute or chargeback.

How payment works

Travel services are not considered confirmed until payment has been received and acknowledged. Delayed payment can affect availability, pricing, or a supplier’s willingness to hold space. All prices are quoted in U.S. dollars unless otherwise stated. Supplier-imposed taxes, fees, and surcharges may apply and remain outside the control of Tradecraft Travel.

Accepted Methods

Credit cards and Zelle

Tradecraft Travel accepts Visa, Mastercard, American Express, Discover, and Zelle bank transfers. Personal checks are not accepted.

  • Credit card payments are processed securely through PCI-compliant third-party processors.
  • Tradecraft Travel does not store full credit card numbers.
  • Credit card processing fees are included unless explicitly disclosed otherwise.
Authorization

Submitting payment confirms approval

By submitting payment, the client authorizes Tradecraft Travel LLC to charge the selected payment method for the agreed amount and acknowledges acceptance of these terms and any applicable supplier terms tied to the booking.

  • Payment approval applies to the quoted amount and associated booking commitments.
  • Supplier terms remain part of the client’s overall booking agreement.
  • Travel arrangements are not confirmed until payment is received and acknowledged.

Bank transfer rules and payment deadlines

Zelle payments

Zelle payments must be initiated by the client from their bank account to the designated Tradecraft Travel business account. Payment instructions are provided directly at the time of invoicing.

  • Zelle funds are considered cleared once received and confirmed.
  • Clients are responsible for sending payment to the correct recipient.
  • Zelle payments are not reversible once completed.

Deposits and final payments

Many bookings require deposits, staged payments, or a final payment by a supplier deadline. Those dates and amounts will be communicated before booking.

  • Missing a deadline may result in cancellation of services or loss of deposits already paid to suppliers.
  • When a supplier requires Tradecraft Travel to submit payment, payment may be required up to one week before the supplier’s own deadline.
  • Prompt payment helps protect pricing and availability.

What happens if plans change

Refunds

Supplier policies control most refunds

Refunds are governed by the policies of the travel suppliers involved, including airlines, cruise lines, hotels, and tour operators. Tradecraft Travel acts as an intermediary and cannot override those supplier terms.

  • Refunds, when available, will be returned to the original form of payment when possible.
  • Supplier cancellation rules may include penalties or full forfeiture depending on timing and fare or package type.
  • Planning or service fees charged by Tradecraft Travel may be separate and may be non-refundable.
Chargebacks

Contact Tradecraft Travel first

If there is a concern about a charge, clients agree to contact Tradecraft Travel directly before initiating a chargeback or payment dispute with a bank or card issuer.

  • Direct communication often resolves issues faster and more accurately.
  • Initiating a chargeback without first attempting resolution may result in additional fees and suspension of future services.
  • Invoices, correspondence, and supplier policies may be provided to payment processors if a dispute occurs.

Travel is built on supplier rules, deadlines, and inventory. The best way to avoid avoidable problems is to communicate early, review supplier terms carefully, and keep payment commitments on schedule.

Fraud prevention and payment verification

Additional verification

For fraud prevention, Tradecraft Travel may request additional verification for credit card payments, particularly for higher-value transactions.

  • Verification may include government-issued identification.
  • A signed authorization form may be required in some cases.
  • These steps are intended to protect both the client and the business.

Agreement to terms

By submitting payment, the client acknowledges that these Payment Terms & Conditions have been read and understood, and that applicable supplier terms are also part of the booking arrangement.

Another payment option to consider: Flex Pay by Upgrade

How it works at a high level

Some clients may prefer to finance a trip over time instead of paying the full cost up front. Flex Pay by Upgrade may offer that option, and some loans may be interest-free depending on eligibility and terms.

  • The pre-approval process uses a soft credit check that does not affect your credit score.
  • If approved, you will be offered terms that can be compared against other payment options, including a credit card.
  • If you proceed, Upgrade generates a virtual credit card that can be used to pay for the trip.

Important notes

Flex Pay is optional and is offered through Upgrade, not through Tradecraft Travel or the travel supplier. Approval, rates, and repayment terms are determined solely by Upgrade.

  • You are not required to use Flex Pay.
  • Eligibility, rates, fees, and repayment terms come from Upgrade.
  • Review the official terms carefully before choosing this option.

You can review details at Upgrade.
